SHARE Desktop Scheduler Session Export/Import: Frequently Asked Questions

  • How do I export my schedule to my work/personal calendar?

    The “Export” and “Export to Outlook” functions both create an iCalendar (.ics) file which can be imported into most email/calendar clients.

    The “Export” and “Export to Outlook” functions will only create an iCalendar (.ics) file for sessions you have added to your My Sessions (your schedule).

    The “Export” and “Export to Outlook” functions will create one iCalendar (.ics) file which contains one calendar event for each session on your schedule.

    The “Export” and “Export to Outlook” functions will trigger a download of an iCalendar (.ics) file to your local “Downloads” directory and the file will be named “Calendar.ics”.



  • How do I import an iCalendar file containing only one session into my Outlook calendar?

    Locate the Calendar.ics file in your local Downloads directory and double-click it. This will open the calendar item.

    Locate the Time Zones button and click it. This will reveal the Time Zone fields within the calendar item. Ensure that they are set to the appropriate time zone for the location the SHARE event is being held in (SHARE Providence will be in the Eastern time zone).

    Locate and click the Save & Close button.



  • How do I import an iCalendar file containing more than one session into my Outlook calendar?

    Locate the Calendar.ics file in your local Downloads directory and double-click it. This will automatically trigger an import into your Outlook calendar client of a new Calendar which will be categorized/grouped as Other.

    Locate the individual calendar items for the sessions on your schedule and double-click each one. This will open the individual calendar items.

    Locate the Time Zones button and click it. This will reveal the Time Zone fields within the calendar item. Ensure that they are set to the appropriate time zone for the location the SHARE event is being held in (SHARE Providence will be in the Eastern time zone).

    If you are okay with leaving these calendar items on their own calendar, then locate and click the Save & Close button.

    If you would prefer to move these calendar items to your default calendar, then locate and click the Copy to My Calendar button. This will trigger a Save dialog asking you to confirm if you would like to save the changes. Click the appropriate button. Note that regardless of how you answer this question, the calendar event will be copied to your default calendar.



  • How do I import an iCalendar file containing one or more sessions into my Google calendar?

    Locate the Other Calendars dropdown menu on the lower left-hand side of the calendar screen. Select Import Calendar from the menu.

    In the dialog box that appears, locate the File box and click the Choose File button and navigate and locate the Calendar.ics file in your local Downloads directory and click Open.

    In this same dialog box, locate the Calendar dropdown box and select the calendar you want to import this calendar item to.

    Click the Import button.

    Click close on the import confirmation dialog that appears.

    Locate the session that has been imported into your calendar and open it.

    Locate the Time Zone link and click it. This will reveal the Time Zone dialog box. Set this session to the appropriate time zone for the location the SHARE event is being held in (SHARE Providence will be in the Eastern time zone).

    Click the Done button.

    Save and close the calendar item.



  • How do I import an iCalendar file containing one or more sessions into my iCloud calendar from my MAC?

    Select Import from the File menu

    Locate the Calendar.ics file in your local Downloads directory and click Import.

    Select the appropriate calendar from the dialog box and click OK.

    Locate the session that has been imported into your calendar and double-click it.

    Locate the date/time section of the event details and click near the date/time to expand that section.

    Locate the Time Zone dropdown and select the appropriate time zone for the location the SHARE event is being held in (SHARE Providence will be in the Eastern time zone). NOTE: Time zone support must be enabled within your calendar preferences.

    Click away from the calendar event to close the details window.



  • How do I import an iCalendar file containing only one session into my iCloud calendar from my other Apple devices?

    Email the Calendar.ics file to your device.

    Locate the attachment in your email from your device and open the attachment.

    Locate and click the Add To Calendar link at the bottom of the screen.

    Locate and select the appropriate calendar from the resulting dialog screen and click Done.

    Click Done on the following screen.

    Locate the session that has been imported into your calendar and open it.

    Locate the date/time section of the event details and click near the date/time to expand that section.

    Locate the Time Zone field and select the appropriate time zone for the location the SHARE event is being held in (SHARE Providence will be in the Eastern time zone). NOTE: Time zone support must be enabled within your calendar preferences.

    Click Done.



  • How do I import an iCalendar file containing more than one session into my iCloud calendar from my other Apple devices?

    Email the Calendar.ics file to your device.
